This page explains what personal information we collect, why we collect it, how we use and protect it, and how you can access or correct it.
What personal information we collect
Depending on how you deal with us, we may collect the following:
-

-
Enrolment: Course selected, prior qualifications, employment status, Unique Student Identifier (USI)
-

Sensitive information. Where it is relevant to your training — for example, a disability or learning support need affecting reasonable adjustments — we may collect health or related information. Under APP 3, we only collect this with your consent (or where the law otherwise permits), and we treat it with additional care.
How we collect it
We collect personal information:
-
directly from you, through enrolment forms, our website, email, or phone;
-
automatically when you use our website (see Cookies below); and
-
from third parties such as employers or funding bodies, where you have engaged them in connection with your training.
Where it is reasonable and practicable to do so, we collect personal information directly from you (APP 3). When we collect it, we will tell you why and who we may share it with, as APP 5 requires.
Why we use it
We use your personal information to:
-
process your enrolment and deliver your training and assessment;
-
issue qualifications and statements of attainment;
-
meet our regulatory reporting obligations, including AVETMISS reporting and USI requirements;
-
process payments and manage your account;
-
respond to enquiries and handle complaints; and
-
send you information about courses, where you have agreed to receive it.
Under APP 6, we only use or disclose your information for the purpose we collected it, a directly related purpose you would reasonably expect, or where you have consented or the law requires it.
Some disclosures — such as providing your USI and AVETMISS data to government bodies — are required by law. If you do not provide that information, we may not be able to enrol you.
Who we share it with
We may disclose personal information to:
-
Government bodies and regulators — including ASQA, NCVER, and the USI Registrar, as required by law;
-
Service providers — including PowerPro RTO (student management) and PIN Payments (payment processing), who are only permitted to use your information for the services they provide to us; and
-
Third parties you have authorised — such as an employer sponsoring your training.
We do not sell your personal information.
Payment information
Card payments are processed securely by PIN Payments. We do not store your full card details on our systems. Our checkout uses HTTPS/TLS encryption, and our payment provider maintains PCI DSS compliance for the handling of cardholder data. We retain transaction records (not card numbers) for accounting and tax purposes.
Sending information overseas
Your student records are held in Australia. We use PowerPro RTO, an Australian student management system, to manage enrolments, results, and compliance data.
Two of our services involve storage or processing outside Australia:
-
Website — our site is built on Wix, which stores data in the United States and Ireland and may process it in other countries.
-
Email — our email operates on Microsoft 365, and Microsoft operates data centres across multiple countries.
Before your information is stored or processed overseas, we take reasonable steps under APP 8 to ensure it is handled consistently with the Australian Privacy Principles. These providers are contractually bound to protect it.
Cookies and our website
Our website uses cookies and similar technologies to keep the site functioning, remember your preferences, and help us understand how the site is used. You can manage your cookie preferences through your browser settings. Disabling some cookies may affect how the site functions.
How we keep it secure
We take reasonable steps under APP 11 to protect your information from misuse, loss, and unauthorised access. Our security measures include encryption, access controls, staff training, and secure hosting.
If a data breach occurs that is likely to cause you serious harm, we will respond in line with the Notifiable Data Breaches scheme. This may include notifying you and the Office of the Australian Information Commissioner (OAIC).
How long we keep it
We keep personal information only for as long as we need it, then destroy or de-identify it securely. Some retention periods are set by law:
-
Student qualifications and statements of attainment: Minimum 30 years
-
Student assessment items: Minimum 2 years after course completion
-
AVETMISS records: As required for business activities
-
Financial records: 7 years (ATO requirement)
-
WorkSafe completed assessment tools: 5 years
-
Marketing data: Until you opt out
Accessing and correcting your information
You have the right to request access to the personal information we hold about you (APP 12), and to ask us to correct it if it is inaccurate (APP 13).
To make a request, contact us at admin@paratus.edu.au. We will respond within 30 days. There is generally no charge for access requests, though we may recover reasonable costs in some cases.
Complaints
If you believe we have mishandled your personal information, please contact us in the first instance at admin@paratus.edu.au so we can work to resolve it.
If you are not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC): oaic.gov.au | 1300 363 992
